Description
Bullpen Strategy Group (BSG) is an insights-driven public affairs and strategic advisory firm that helps clients solve hard problems, grow, and manage risk. We’re hiring an Executive Assistant to be the CEO’s force multiplier across his entire business portfolio, with secondary support to other senior executives as needed. This is not a calendar job. You’ll own the operational details — schedule, travel, communications, prep, follow-through — that lets the CEO stay focused on clients, deals, and the work only they can do. When this role is done well, the CEO shows up to every meeting prepared, every travel detail handled, every commitment honored, and never has to ask “what’s next.”
ABC
Here’s how you’ll make an impact
- Strategic Calendar Command. You’ll turn the CEO’s calendar into a deliberate roadmap — protecting deep work, sequencing meetings intelligently across business interests, and resolving conflicts before they reach the CEO’s desk. You understand that every “yes” is a “no” to something else, and you’ll guard their time accordingly.
- Precision Logistics. You’ll own complex domestic and international travel end-to-end — flights, hotels, ground transport, time zones, visas, dinner reservations, briefing materials waiting in the room. The CEO should never think about logistics; they should just arrive.
- Communications & Inbox Triage. You’ll be the CEO’s first line on email, calls, and texts — drafting responses, flagging what’s urgent, deflecting what isn’t, and making sure nothing important falls through the cracks. You’ll represent the CEO with clients, investors, reporters, and political principals in a way that reflects their standards.
- Prep & Follow-Through. You’ll build briefing memos, decks, and one-pagers ahead of meetings so the CEO walks in fully loaded. After meetings, you’ll capture commitments and chase them to completion — yours or others’.
- Multiple Business Entities & Lines, One Operator. You’ll move fluidly between the CEO business portfolio whether it be working with clients or dealing with investment deal — different cadences, different stakeholders, same standard of execution.
- Cross-Executive Support. From time to time, you’ll extend support to other senior leaders — covering travel, scheduling, or special projects when capacity demands it. You’ll know how to prioritize without dropping the ball on the CEO.

Qualifications
- Anticipatory judgment. You see around corners. When a flight slips, you have Plan B and C moving before the CEO knows there’s a problem. When a meeting runs long, you’ve already rebooked the next three.
- Insanely high agency. You don’t wait to be told. You figure it out — whether “it” is a last-minute Senate hearing schedule change, a hotel that lost the reservation, or a tool you’ve never used before. If you don’t know how, you learn by end of day.
- Discretion at the C-suite bar. You’ll see board materials, investor decks, client strategy, political conversations, and personal matters across multiple executives. None of it leaves the room.
- Communication chops. You can write a crisp email in the CEO’s voice, decline a meeting without burning a relationship, and brief a senior principal with confidence.
- Pace. DC and the markets don’t slow down for anyone. You’ll be reachable outside business hours when it matters — and you’ll know when it matters.
